Would you like to develop both as a Personal Assistant and expand your skills in project management? We are now looking for a Personal Assistant who wants to combine the Personal Assistant role with projects in areas such as change processes, HR, OX, risk processes and resource planning. All naturally depending on your personal interest and development desire.      

You will be hired in the Group Finance & Treasury COO (GFT COO) organisation, allocated to the Finance & Treasury Reporting unit. Finance & Treasury Reporting is a recently established unit in Group Finance & Treasury (GFT) that will leverage the consolidated strength of Nordea’s financial expertise and competencies to secure that GFT is better equipped to meet both current and future demands on GF&T’s reporting services.

About this opportunity

Welcome to the GF&T COO team. We add value by being a central unit for all Management Partners, Personal Assistants and Management Support Officers. You will report directly to the GFT COO but on a daily basis your focus will be to work with the Co-Heads of Finance & Treasury Reporting (F&TR).

As the Personal Assistant, you’ll play a valuable role in supporting F&TR reporting Co-heads and their unit to enable focus on important, larger tasks and becoming more effective. The goal is to make the daily work of the co-heads of F&TR, and the management team, smoother and thereby enable the team to fully focus on running the business. There will be room for more than administrative tasks where your interest and development decide what projects and assignments to work with.

What you’ll be doing:

  • Calendar coordination, structure, prioritise and organise
  • Represent F&TR towards colleagues, other units and external contacts, as well as help with arranging re-occurring meetings such as:
    • Management meetings
    • Extended management meetings
    • Staff meetings
    • Larger events for the F&TR personnel requested by the Co-Heads, such as workshops and social events
  • Prepare/support/create/publish presentations needed for meetings, as well as book and arrange business trips
  • Handle and approve invoices and purchases
  • Support in various approval processes and be one step ahead in providing service proactively, be flexible and support with ad-hoc tasks that appear
  • Keep and create networks
  • Be involved in creating a “Great Place to Work” environment and support in internal communication activities together with colleagues in Group Communications

You’ll join the GF&T COO team. The role is based in Stockholm. The position will require occasional travel, as the team and stakeholders are based throughout the Nordic region.

Your experience and background:  

  • You have excellent communication skills in English, both spoken and written, and the ability to communicate and challenge on all levels in the organisation including senior management
  • You have excellent skills in Outlook, PowerPoint and Word, and you have basic/good understanding of using Excel
  • You have relevant work experience and previous experience as either an assistant, management partner or management consultant would be an asset
  • It is as merit if you have an academic degree (MSc or equivalent) in business, economics, finance, mathematics, statistics or engineering
