As Manager for Klarnas Executive Assistant team (Executive Services) you will lead the work of a team of 6 people sitting in Stockholm, Sweden but also in 2 other locations, Germany and USA. You will be based in Stockholm, and will need to lead parts of the team virtually, but of course also meet face to face now and then. You will be responsible to coach the team, set up structure and a service strategy, make sure this function is working and that we cater for the need that Klarna has for this kind of service. Have regular feedback sessions with Executive managers team and make sure service levels are up to speed. Help develop the Executive services team and be the one pillar of contact when ordinary assistant is away.

The team’s mission is to be responsible for anticipating, prioritizing and organizing all activities with regards to the Senior management calendars and bring order to the chaos that can sometimes characterize an executive’s work schedule. This will require other forms of support in addition to calendaring, such as scheduling events, coordinating domestic and international travel, maintaining budgets, preparing materials for high-level meetings and note-taking. Additionally, they have the opportunity to be involved in one-off projects and initiatives – generally they should be ready to contribute across the business and provide structure and organization wherever possible.

You are a service minded person and true leader, preferably with a couple of years of experience from working as a team leader and experience with working as an Executive Assistant. You are used to build structure in everything you get in to and you really enjoy being in an environment where you can contribute to the company’s internal relationship. You are a good listener, true problem-solver and you happily go above and beyond to find the right solution. Sharing your ideas for improvements comes naturally to you, as well as easily prioritizing your tasks. Most importantly, you love being a part of your teammates growth in their roles.

You consistently and proactively suggest and introduce new ways of working to improve effectiveness and you love to work at a high pace. However, what sets you apart and really makes you different from other candidates is your level of integrity, social skill and commitment to order and structure. We believe that you will have worked in a similar role before and have acquired the skills necessary to be on top of a situation even before it arises.
